Position Type: Part time /20 hours per week (Some flexibility on schedule. However, applicant must be available to work between the hours of 9 a.m. and 3 p.m. and may need to work 30-40 hours/week for two weeks in October and April.)
Summary
This position provides administrative support to all fundraising activities. Many aspects of effective development offices require the consistent, careful completion of repetitive activities. The Development Assistant (DA) position exists to complete these tasks while providing an entry point to the development profession. Because the work supports all fundraising strategies and tactics, it provides an excellent vantage point to learn the business and to practice essential capabilities.
Current Scope
ISF raises roughly $700,000 each year, with growth projected to $1 million annually in the next two years. This position is new so the following are work volume estimates. The DA will: process gift entries (for a few thousand transactions a year), manage reporting functions to support all resource development committees, assist with special fundraising events as required and be continually responsive to requests from the Development Director and Executive Director.
Responsibilities and Anticipated Deliverables
- Support the Development Director’s work in all ways requested.
- Complete timely and accurate gift entry.
- Learn all aspects of donor database (currently DonorPerfect). Responsible for daily backup.
- Run scheduled and as-needed/requested database reports and develop a reporting manual so reports can be easily duplicated.
- Continually update and correct donors’ database records including Major Donor narratives.
- Review local and regional media for news of ISF Board, past Board, and donors’ accomplishments and prompt ED and/or others to send notes.
- Research existing ISF donors to identify those with potential for increased support.

- Maintain inventory, order and assist in the production and updates of all letterhead, thank you cards, sponsorship packets, brochures and displays to meet all ISF needs.
- Research, develop and implement a plan for fully utilizing contact management capabilities in Donor Perfect.
- Serve as the Donor Perfect staff ”expert”. Keep current with Donor Perfect updates and educate staff as required.
- Do analysis and reporting on fundraising campaigns.
- Actively participate as a positive member of the ISF team, meeting or exceeding team standards, including but not limited to the following:
- Contribute willingly to every “all hands” project including development of Spotlight on Success story ideas, content for the annual report, etc.
- Maintain accurate and complete information in the Donor Perfect database.
- Attend and contribute to all staff meetings and other gatherings including, and especially, the annual staff retreat.
- Respectfully accommodate colleagues’ requests and clearly articulate own needs essential to enabling one’s best contributions.
Required Knowledge, Skills and Abilities
- Associate or bachelor degree.
- A minimum of two years' experience in an office setting.
- Familiarity with user-friendly Internet access portals such as Constant Contact.
- Proficiency in Microsoft Word, Excel and PowerPoint.
- Donor Perfect experience preferred, but not required.
- Detail oriented.
- Self directed learner.
- Excellent verbal and written communications skills.
- Ability to present information concisely and effectively, both verbally and in writing.
- Ability to organize and prioritize work.
- Ability to work independently with little supervision.
- Excellent interpersonal skills.
- Ability to work nights and weekends on occasion as required.
